What is a fixed-price project?
A fixed-price project is a build with a documented scope, an agreed price, and a finish line. We write down what will be delivered and what it will cost before any code is written. Then our team delivers it end to end: design, build, testing, deployment, and handover, billed against milestones you sign off on.
The trade is simple. You give up the freedom to reshuffle priorities every week, and in return you get price certainty and a delivery commitment. If our estimate was wrong, the overrun is our problem, not a bigger invoice. That is what makes this model honest: the risk sits with the people who did the estimating.
Which model fits the work ahead?
| Staff Augmentation | Agile Pod | Fixed-Price Project | |
|---|---|---|---|
| Team composition | Individual engineers you pick | Cross-functional pod with a lead | Xpiderz-managed project team |
| Who manages delivery | You do, like your own hires | Our pod lead, against your priorities | We do, against the agreed scope |
| Scope | Whatever you assign | A living backlog, reprioritized each sprint | Fixed and documented up front |
| When priorities change | You redirect your people | Next sprint planning handles it | Change requests, priced before work starts |
| Budget risk | Yours, seat by seat | Shared across the engagement | Ours. Overruns do not change the price |
| Pricing | Monthly rate per engineer | Monthly rate per seat, month to month | Fixed price against milestones |
A fixed price only works when the scope is genuinely clear. If yours is still fuzzy, a short discovery engagement pins it down first. And if the roadmap will keep moving after launch, an agile pod is the better home for it, and we will say so before you sign anything.
Talk to an EngineerWhen is a fixed-price project the right move?
The scope is clear and unlikely to change before launch
You need one number the budget owner can approve in a single meeting
It is a one-off build with a finish line: a chatbot, an MVP, an integration
Nobody on your side is free to manage engineers day to day
You want accountability against milestones, not hours on a timesheet
There is a hard date attached: a launch, a demo day, a funding round
Procurement or compliance requires a fixed quote before anything starts
You want to test working with us on one build before a longer engagement
Three or more sound familiar?
Then a fixed price is probably your model. Walk us through the build.

You own the acceptance
The scope and the acceptance criteria are agreed in writing before kickoff. A milestone only counts as done when it meets them and you sign it off.
We own the risk
The team, the timeline, and the budget are our problem. If the estimate was wrong, the price does not move and the invoice does not grow.
How do we scope & deliver your project?
Walk Us Through the Build
A free 30-minute call about the product, the users, and any hard dates. No pitch, just questions.
Get the Scope and Price
Within a week you get the scope document, the milestones, and one fixed number. Fixed figures, nothing vague.
Sign Off on Milestones
You approve the scope and the acceptance criteria for each milestone before any code is written. What "done" means is settled on paper, not in a dispute.
Build with Weekly Demos
The team builds in your repos and demos every week. You see working software throughout, not a reveal at the end.
Launch and Hand Over
Deployment, documentation, and training for your team, followed by a warranty window where fixes are on us.
What keeps a fixed price honest?
Scope in Writing
Every deliverable and its acceptance criteria are documented before kickoff. Nobody argues later about what was promised, because it is on paper.
Milestone Billing
You pay as milestones ship and pass acceptance, not everything up front. Money follows working software.
Weekly Demos
A demo every week from the first sprint. If something is drifting off course, you see it in week two, not at delivery.
Changes Priced Before Work
Want something outside the scope? You get a price and a timeline impact in writing first, and nothing is built until you approve it.
Overruns on Us
If the build takes longer than we estimated, the price does not move. Our estimating mistake is our cost, which keeps our estimates honest.
Warranty After Launch
Bugs found in the warranty window are fixed at no charge. Handover includes docs and training, not a goodbye email.
Why run your project with Xpiderz?
Senior only
No juniors learning on your budget. The people who scope the project are the people who build it, which is why the estimates hold.
Production AI, not demos
Chatbots, agents, and RAG systems that run in production for real businesses. The case studies on this site are the proof, not a slide deck.
Fixed means fixed
The number in the proposal is the number on the final invoice, unless you change the scope. Overruns are ours to eat.
Weekly visibility
Demos every week and milestones you accept one by one. A fixed price should never mean a black box.
Your repos, your rules
Everything lives in your accounts from the first commit, follows your access policies, and survives an audit without a scramble.
Honest fit advice
If your scope is too fuzzy for a fair fixed price, we say so on the first call and suggest discovery or a pod instead of guessing with your money.
What does a fixed-price build look like in practice?
Case Study · Eona.ae, Dubai, UAE
Eona: a WhatsApp chatbot with a clear scope and a clear finish line
The challenge: Eona needed 24/7 customer support and delivery coordination on WhatsApp without scaling headcount, and needed to know the cost before committing.
How the team worked: a defined scope, agreed milestones, and weekly demos from an Xpiderz-managed team, from conversation design through launch and handover.
The outcome: around 70% of customer queries handled by the assistant with graceful human handover, and first responses in under 30 seconds around the clock.

What do teams ask before
starting a fixed-price project?
Any build with a scope we can define in writing and a finish line we can commit to: a chatbot, an AI agent, a RAG system, an MVP, or an integration. If the scope cannot be pinned down honestly, we will tell you and suggest a different model instead of guessing.
A fixed-price project delivers one agreed scope for one agreed number and then ends. A pod works a living backlog month to month with no fixed end. If your priorities will keep moving, the pod is the better fit and usually the cheaper one over time.
A scoping call, then a written proposal within a week: the deliverables, the milestones, the acceptance criteria, and one fixed number. The engineers who will build the project do the estimating, which is why the number holds.
Changes are welcome, they are just priced first. You get the cost and the timeline impact in writing before any work starts, and nothing is built until you approve it. No surprise line items at the invoice.
The price does not move. If we underestimated, the overrun is our cost, not yours. That risk sitting on our side is exactly what keeps our estimates honest.
Most chatbot and automation builds land in four to eight weeks, RAG systems and MVPs in eight to sixteen. The proposal gives you the actual timeline for your scope, milestone by milestone, before you commit.
Yes, there is a demo every week from the first sprint, and the work happens in your repos so you can look at any time. A fixed price should never mean waiting months for a big reveal.
A warranty window where bugs are fixed at no charge, plus documentation and training for your team. After that you can run it yourself, add a support retainer, or continue building with a pod. Your call.
You do, from the first commit. The project is built in your repos and your accounts, so code, prompts, and docs are yours the entire time. There is nothing to hand over at the end because you always had it.
